Pregones/PRTT is a nonprofit performing arts organization that relies on email to promote its productions, sell tickets, and keep patrons engaged from one theater season to the next. With a large, loyal subscriber base and a steady cadence of campaigns, email was already an important revenue channel. The opportunity was to apply email marketing optimization to a proven program, looking closely at how it performed to understand which audiences, timing, and content drove the strongest response and where there was room to grow engagement and revenue further.

We were engaged to answer those questions through analysis rather than day-to-day campaign management. Working from historical campaign data, subscriber engagement, audience segmentation, click behavior, conversion metrics, and revenue attribution, we examined how content, timing, and targeting were shaping results, then built a set of email marketing optimization recommendations for sharper targeting, better send timing, and stronger segmentation. Put into practice within the theater’s ongoing email program, that work translated into measurable gains in engagement, ticket sales, and email-attributed revenue, and gave Pregones/PRTT a data-informed foundation it could keep building on.

THE OPPORTUNITY

Pregones/PRTT came into each theater season with a real advantage: an established email program and a large, engaged subscriber base that already looked forward to hearing about new productions. Email was doing its job, promoting shows, moving tickets, and keeping patrons connected to the theater. The opportunity was to understand that program at a deeper level, to see clearly which audiences, send times, and content were driving the strongest response so the effort behind each campaign could be directed with more precision.

For a nonprofit theater, email is one of the most direct lines to both attendance and revenue, which is what made that visibility so valuable. Our approach to email marketing optimization was built entirely on Pregones/PRTT’s own data. Rather than change the program on instinct, we analyzed how it was performing across several dimensions, then translated what we found into clear, prioritized recommendations the team could put into practice. Each area below built on the last, moving from raw campaign history to specific, measurable actions.

THE IMPACT

Once the recommendations were in place, the impact of the email marketing optimization showed up where it mattered most. Email-attributed revenue climbed 155.3% and email-attributed ticket sales rose 78.8% year over year, turning sharper targeting and timing into filled seats and real income for the theater. Click-through rate grew 136.8%, a clear sign that campaigns were reaching the right people with the right message.

Just as important, the gains held their quality. All of this came across more than 1.1 million emails sent over the year, with the unsubscribe rate staying below 1%, so stronger engagement never came at the cost of the audience Pregones/PRTT had worked to build. The program did not just perform better in a single season; it gained a data-informed footing it could keep building on.
